This policy explains how we collect, hold, use and disclose personal information when you use our website, contact us or engage us for tax, accounting, bookkeeping, business or related services.
We handle personal information in accordance with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and, where applicable, the Privacy (Tax File Number) Rule 2015.
Personal information we collect
The information we collect depends on your dealings with us and may include:
- your name, date of birth, address, telephone number, email address and identity information;
- tax file numbers, Australian business numbers and other government identifiers;
- taxation, financial, banking, employment, business, property, superannuation and investment information;
- identity documents, receipts, statements and other records you provide for our services;
- information about your spouse, dependants, employees, business partners or other people where relevant to the services you request;
- appointment, enquiry, correspondence and service records; and
- technical information such as your IP address, browser, device, referring page and website activity.
If you provide personal information about another person, you should have their authority and make them aware of this policy where reasonably practicable.
How we collect information
We generally collect information directly from you through our website forms, document uploads, email, telephone, messaging services, appointments and other communications. We may also collect information from your authorised representatives, employers, financial institutions, government agencies, professional advisers, public records and other third parties where you authorise us or the law permits.
Our website may use cookies and similar technologies. You can control cookies through your browser, although disabling them may affect parts of the website.
Why we collect and use information
We may collect, hold, use and disclose personal information to:

Tax file numbers
We only collect, use and disclose tax file number information where this is authorised by taxation, personal assistance or superannuation law and reasonably required for the services you ask us to provide. We do not use a tax file number as a general identifier.
Providing your tax file number is not an offence, but choosing not to provide it may prevent or delay us from completing a tax-related service. We restrict access to tax file number information, disclose it only to authorised recipients such as the Australian Taxation Office where required, and securely destroy or permanently de-identify it when we are no longer legally required to retain it.
Ordinary email may not be secure. Please use a secure document method we provide, or contact us before sending tax file numbers, identity documents or other highly sensitive information by email.
Who we may disclose information to
Where reasonably necessary for the purposes above, or where authorised or required by law, we may disclose information to:
- the Australian Taxation Office, Australian Securities and Investments Commission and other government or regulatory bodies;
- your authorised representatives, financial institutions, superannuation funds, employers and other parties involved in your affairs;
- our professional advisers, insurers, contractors and service providers;
- providers of website hosting, secure storage, email, communications, appointment, payment, analytics, security and business systems;
- law enforcement bodies, courts or other parties where disclosure is required or permitted by law; and
- a successor or proposed successor to our business, subject to appropriate confidentiality protections.
We do not sell personal information.
Overseas disclosure and storage
Some technology and cloud service providers we use may store or process information outside Australia, including in the United States and other countries in which those providers operate. The countries involved can change as providers update their infrastructure. Where the APPs require it, we take reasonable steps to ensure overseas recipients handle personal information consistently with Australian privacy requirements.
Security and retention
We take reasonable administrative, technical and physical steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These measures may include access controls, secure systems, staff procedures, backups and appropriate service-provider safeguards. No internet transmission or electronic system is completely secure.
We retain information for as long as reasonably needed to provide our services and meet taxation, accounting, legal, professional and insurance obligations. When information is no longer required, we take reasonable steps to securely destroy or permanently de-identify it, unless the law permits or requires continued retention.
Website analytics and third-party services
We may use analytics, advertising, spam-prevention, chat, mapping and embedded-content services. These providers may collect technical information through cookies or similar technologies under their own privacy terms. You can limit some collection through browser settings, cookie controls and the opt-out tools offered by those providers.
Our website may link to third-party websites. We are not responsible for the privacy practices or content of those websites.
Direct marketing
We may use your contact details to send information about our services where the law permits. You can opt out at any time by using the unsubscribe option in a message or contacting us. We will not use tax file number information for marketing.
Accessing or correcting your information
You may ask to access personal information we hold about you or request that inaccurate, out-of-date, incomplete, irrelevant or misleading information be corrected. Contact us using the details below. We may need to verify your identity and, where permitted, may charge a reasonable cost for providing access. If we refuse a request, we will explain the applicable reason and available complaint process.
Privacy complaints
If you have a privacy concern or complaint, please contact us with enough detail for us to investigate. We will acknowledge your complaint and aim to respond within a reasonable period. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.
Data breaches
We maintain procedures for responding to suspected data breaches. Where a breach is likely to result in serious harm and the law requires notification, we will notify affected individuals and the Office of the Australian Information Commissioner under the Notifiable Data Breaches scheme.
